I’m reflecting on a time early in my career when I had no plan, no structure to my days. Every morning was a blank slate, and while that sounds liberating, it often turned into chaos. This lack of boundaries trained my clients to expect me to be available at all times, which was exhausting and unsustainable.
Real estate is known for its unpredictable hours, but that doesn’t mean you can’t manage your time effectively. My turning point came when I started setting clear expectations with my clients from the beginning. During our initial meetings, I would outline my business hours and explain why it was important for us to stick to them. I’d point out that although there wasn’t much we could do to move a transaction forward after certain hours since key collaborators were unavailable, I encouraged my clients to communicate through proper channels during those times. Phone calls might not be feasible, but sending an email to share thoughts and ideas was perfectly fine. This way, I could handle their concerns first thing the next business day when I was actively working on moving transactions forward. This not only helped my clients understand but also allowed them to respect my time.
One of the biggest benefits of this shift was that it allowed me to regain control of my schedule. I could anticipate more accurately when I would be communicating with clients, minimizing surprise phone calls and the scatteredness of my day. This structured approach didn’t necessarily free up my evenings and weekends—weekends often remained busy with open houses and client showings—but it did make my work life more predictable and less chaotic.
Blocking out these personal times on my calendar in advance meant I didn’t miss out on significant moments with my family and friends. This intentional scheduling also meant fewer missed soccer games, birthdays, and anniversaries. Getting a handle on my calendar wasn’t just about blocking off personal time. I also became rigorous about scheduling my workday. Lead generation, a critical activity for building my business, was given a dedicated time slot every day. By protecting this time, I ensured that I was consistently building my pipeline, even on busy days. I also blocked out time for lunches, client meetings, follow-ups, and administrative tasks. Each part of my day had its place, which brought a sense of order and predictability.
The impact of this disciplined approach to time management was profound. My days felt structured and less scattered, and my productivity soared. With everything mapped out, I could focus on one task at a time without worrying about what I might be forgetting or what unexpected interruption might come next. This focus translated into better service for my clients and a more balanced life for me.
